How to view and manage products

Manage the WooCommerce catalog from the dashboard. Create drafts, edit a product, run bulk Actions, and import a CSV. Shoppers still buy on WooCommerce.

What it is

In the sidebar, open Store, then Products. The list title is Products. The count reads N products total on desktop, or N Total on a phone. While it loads, the page shows Loading… Click a name to open the product editor. New product is a dropdown: Blank product or Import from a URL. Import opens CSV import. Spreadsheet Editing is a separate screen. Taxonomies is a different sidebar item.

How it helps you

You find a product, write FAQ and SEO in bulk, change price or stock for many rows, and keep drafts out of the live catalog. Shoppers never see the dashboard. Writes go to WooCommerce. Quantity Rules on the storefront need the companion.

What is included

  • New product: Dropdown New product. Blank product creates a draft named Untitled product and opens the editor. Import from a URL opens the New product page.
  • Toolbar: Export CSV, Import, Spreadsheet Editing, Search (icon), Filters (icon, badge when a filter is on), Columns picker (icon). Phone hides some labels.
  • Status: Desktop tabs, phone Select. All, Published, Draft, Pending, Private, Trash.
  • Search: Dialog title Search. Placeholder Search by name, SKU, category, or tag… Max 100. Button Search. Clear search. Search results for. Back to all products.
  • Filters: Dialog title Filters. Category (All categories), Tag (All tags), Attribute (All attributes) then Value (All values), Stock status (All stock, In stock, Out of stock, On backorder), FAQ (All products, Without FAQ, With FAQ), SEO fields (All products, Missing SEO fields, Has SEO fields). Clear filters. Done.
  • Columns: Same catalog as Spreadsheet Editing. Extra columns on this list are read-only. Defaults on include Primary Image, Product Name, SKU, Status, Regular Price, Stock Status, Stock Quantity, total sales, categories, SEO status, GEO score, and FAQ count. Choices persist in this browser. Zap Product and Marketplace appear next to Featured only when Zap is on the store.
  • Empty list: No products found.
  • Row: Checkboxes. Site (View on site / View product page on site). Click the name to open the editor.
  • Bulk bar: N selected, Clear, Actions. Then Cancel and Apply in the action dialogs.
  • AI content generation: Write FAQ, Write SEO fields, Run GEO check.
  • Write FAQ: Dialog Bulk-generate FAQs. Helper: Tailored questions and answers will be generated for N selected products. Questions per product (3 to 10). Overwrite existing FAQs. Additional instructions (optional). Generate / Generating… Toast FAQ generation started in the background – you can keep working. Counts: succeeded, skipped, failed, skipped (exists).
  • Write SEO fields: Dialog Bulk-write SEO fields. Helper: A focus keyword, Meta Title, and Meta Description will be written for N selected products. Checkbox Overwrite existing SEO fields (otherwise they’re skipped). Additional instructions (optional). Write / Writing… Toast SEO writing started in the background – you can keep working.
  • Categories and tags: Manage categories and Manage tags. Add, Remove, or Replace (full set).
  • Price and stock: Update price (Increase by percentage (%), Decrease by percentage (%), Increase by fixed amount, Decrease by fixed amount, Set a fixed price). Update stock. Shipping class (including No class).
  • Link products: Set Cross-Sells, Set Up-Sells. Add to existing or Replace.
  • Status and management: Change status, Duplicate, Delete. Delete can use Delete permanently (instead of moving to trash).
  • Pagination: Show 50, 100, 200, or 500. Default 50. Previous / Next. The URL page is capped at 500.
  • Local copy: The list reads the local product copy. Refresh from Settings, Store data sync, with Sync Products, Sync changes, or Sync everything. Those buttons are not on Products.
  • Trash: Live from WooCommerce, not the local copy. N products in the trash. Empty: The trash is empty. Columns Product, SKU, Price, Trashed on, Actions. Restore (toast Product restored). Empty trash confirm Empty the trash? This permanently deletes every product in the trash. This action cannot be undone. Confirm Empty trash. Toast Trash emptied (N products deleted).
  • Export CSV: Button Export CSV. If rows are selected, the file is those ids. If none are selected, it uses the search and status on the list.
  • CSV Import: Page title Import products from CSV. Back to Products. Drag a CSV file here or click to choose. With a header row as the first row. Unicode supported (UTF-8). Column mapping. Matching settings: Match by SKU or ID. Create new products. Update existing products. You must map at least SKU or product name. Continue to preview. Preview – first 10 rows. Back to mapping. Run import (N rows). While it runs: Importing… Then Import complete with Created, Updated, Skipped, Failed. Download report. Import more.
  • New product page: Title New product. Back to Products. Continue to full editor / Creating draft… Import from URL (AI): paste a URL, Import and create draft / Scanning and translating… Checkbox Allow suggesting new categories and tags (if off, only existing ones are assigned). Fields: Product name *, SKU, Status, prices, Role pricing, Visibility, Shipping class, Featured product, Zap Product / Marketplace when Zap is installed, Short description, Full description, images, FAQ, SEO, Classification, Linked products. Generate with AI needs a name (tooltip Enter a product name first). Toast Product created. URL import costs 4 credits.
  • Editor header: Back to Products. Generate with AI. View in Woo. Duplicate (toast Product duplicated). Delete: Delete this product permanently? (OK = permanent delete, Cancel = move to trash), then Move this product to the trash? Toast Product deleted. Save / Saving… / Loading data… / Loading all product data… / Saving in the background… Toast Saved successfully. Leave with unsaved edits: You have unsaved changes. Leave this page without saving them?
  • Editor tabs: Content, Bundle (bundle products only), SEO & GEO, Variations (after type is Variable and Save), Linked Products, Advanced Options, FAQ’s.
  • Content: Product name, SKU, Status, prices, Role pricing (simple products), Product type Simple product / Variable product (Bundle is a disabled label on bundles), Stock status, Stock quantity (placeholder Empty = don’t manage stock), Visibility, Featured product, descriptions, images (hosted thumbs, store-media proxy).
  • SEO & GEO: Focus keyphrase, Meta Title, Meta Description, Google preview. GEO score is text only, not the image. Helper: Run a GEO score to get a quality assessment of the product page for AI agents. Costs 4 credits.
  • FAQ’s: Add question.
  • Advanced Options: Quantity Rules Minimum, Maximum, Step (multiples), Default. Price per unit: Unit of measure None / 1 liter / 1 kg / 1 meter, Quantity in product (in units). Helper: WooDonkey Quantity Rules and price-per-unit settings are applied on your storefront using the WooDonkey Companion plugin.
  • Variations: After Save: Click Save (top right) to apply the variable type, then manage variations here. Tick Used for variations on an attribute, then generate combinations or add a variation below. Empty: No variations yet. Add variation. Generate all combinations. Save (N). A variable product cannot be a free gift with a coupon.
  • Spreadsheet Editing: Toolbar button, not a sidebar item. Full how-to: How to bulk-edit products in the spreadsheet grid.
  • Taxonomies: Categories, tags, brands, and attributes live under Store, then Taxonomies. Assign a term on the product editor or Spreadsheet Editing.
  • Not on this page: No rewrite of Spreadsheet Editing, Taxonomies, Bundles, Add-Ons, or the image editor how-tos. There is no shortcode on Products.

How to turn on and manage each capability

Open Products

  1. In the sidebar, open Store.
  2. Click Products. The toolbar also has Spreadsheet Editing. That screen has its own how-to.

Search and filter

  1. Click the Search icon. Type in Search by name, SKU, category, or tag…, then click Search.
  2. Click the Filters icon, pick Category, Tag, Attribute, Stock status, FAQ, or SEO fields, then click Done. Use Clear filters or Clear search to reset.

Create a Blank product

  1. Click New product, then Blank product.
  2. The editor opens on a draft named Untitled product. Rename it, fill Content, then click Save.

Import from a URL

  1. Click New product, then Import from a URL.
  2. Paste the product-page URL, set Allow suggesting new categories and tags if you want, then click Import and create draft. Review the draft and click Continue to full editor or Save.

Edit and Save

  1. Click the product name on the list.
  2. Edit Content, SEO & GEO, FAQ’s, Linked Products, or Advanced Options, then click Save. Wait for Saved successfully.

Duplicate or trash a product

  1. In the editor, click Duplicate (toast Product duplicated), or click Delete.
  2. On Delete, OK is a permanent delete. Cancel then confirms Move this product to the trash?

Restore or empty Trash

  1. Open the Trash tab. Click Restore on a row (toast Product restored).
  2. To wipe every trashed product, click Empty trash, read the confirm, then click Empty trash again.

Bulk Write FAQ

  1. Select rows, click Actions, then Write FAQ.
  2. Set Questions per product and Overwrite existing FAQs if you need, then click Generate.

Bulk Write SEO fields

  1. Select rows, click Actions, then Write SEO fields.
  2. Check Overwrite existing SEO fields (otherwise they’re skipped) if you need, then click Write.

Import or export CSV

  1. Click Import. Drop a UTF-8 CSV, map columns (SKU or name required), set Match by SKU or ID, then click Continue to preview and Run import (N rows).
  2. To export, set search and status (or select rows), then click Export CSV and Download file.

Turn a product into Variable

  1. On Content, set Product type to Variable product, then click Save.
  2. Open Variations. Tick Used for variations on an attribute, then click Generate all combinations or Add variation, set prices, and click Save (N).

What to know before you start

  • The list is a local copy. Trash is live WooCommerce trash.
  • Refresh the copy from Settings, Store data sync. Use Sync Products for catalog rows. Use Sync everything when thumbs are still placeholders (newest products first).
  • Blank product immediately creates Untitled product. Finish it or trash leftover drafts.
  • Save writes to WooCommerce. Quantity Rules and price-per-unit on the storefront need the companion.
  • Hosted thumbs and the store-media proxy are what the dashboard shows. A store URL still sitting in the payload is not the photo you judge.
  • Zap Product and Marketplace show only when Zap is installed.
  • A variable product cannot be a free gift with a coupon. Choose a specific variation instead.
  • Spreadsheet Editing, Taxonomies, Bundles, and the image editor have their own how-tos.
  • There is no shortcode on Products.

Problems you may hit, and how to fix them

  • Symptom: No products found. Fix: Clear search and filters, then open All. If WooCommerce still has products, run Sync Products on Settings, Store data sync.
  • Symptom: Untitled product drafts pile up. Fix: Blank product creates that draft at once. Open Draft, finish and Save, or Delete.
  • Symptom: Variations is missing or still says Click Save (top right) to apply the variable type. Fix: Set Variable product on Content, then click Save before you manage variations.
  • Symptom: Generate with AI is disabled on New product. Fix: Fill Product name first. The tooltip is Enter a product name first.
  • Symptom: Bulk FAQ or SEO shows skipped (exists). Fix: Check Overwrite existing FAQs or Overwrite existing SEO fields (otherwise they’re skipped), then run again.
  • Symptom: The trash is empty, but the list looks empty too. Fix: Those are different. Trash is live WooCommerce trash. The list is the local copy plus filters.
  • Symptom: Photos are placeholders. Fix: Run Sync everything on Settings, Store data sync. Thumbs copy newest products first. Do not judge a store URL still in the payload.
  • Symptom: Zap Product and Marketplace columns are missing. Fix: Expected unless Zap is installed on the store.
  • Symptom: CSV import will not continue. Fix: Map at least SKU or product name, then click Continue to preview.
  • Symptom: Quantity Rules do not show on the storefront. Fix: Install and connect the companion. Those fields apply on the store through the plugin.
